NG Church Harmony Sunset Run

General Information

  1. The event takes place on Friday 29 November 2024. The event starts and ends at the Church, c/o Wellington- & Zondereind Street, Harmony, Virginia.
  2. Route map(s) will be available at the entry points and start of race. Distance markers will be placed on the route at 1 km intervals.
  3. Route monitoring: On Friday 29 November 2024 the routes will be monitored by the local traffic department, Neighbourhood Watch and Marshals. As the race is taking place in a residential area, the roads will not be closed off.
  4. Parking: Sufficient parking is available around the church building. Parking is at own risk.
  5. Sufficient amount toilets provided at the church. No dressing rooms and shower facilities available.
  6. No tog bag area and no club tents / gazebo space available.
  7. For accommodation contact Goldfield Gardens Guesthouse, located in central Virginia (057 050 1140).
  8. As it is a church fundraiser there will be food stalls and refreshments available. Please support the church.
  9. Different vehicles, including leading car (2) for 10km Men & Women, and (1) for Fun run, motorbikes and safety vehicle at the rear, will be used for assistance, control and safety. Medical support provided by ER24. There will also be a doctor present.
  10. There will be water points at every 2km intervals. Water points will serve water in sachets and foam cups. Using of own water bottles allowed. Water bottles can be refilled at water points. No alcohol allowed at the race venue.
  11. Medals are handed out to finishers upon completing the race at the finish line.
  12. Sponsors listed for this event will not be interpreted as an entitlement for any participant to insist on free, discounted, or preferential treatment pertaining to the products and services offered by the sponsors.

Race Rules

  1. The race is held under the rules of WA, ASA and AFS.
  2. Athletes indemnity the national, provincial and regional bodies, sponsors and organisers of the race against any or all actions of whatsoever nature, whatever the same may arise out of their participation in the race.
  3. Obey all marshals, traffic, authorities and rules. Breach of any regulations or requirement may lead to instant removal without appeal. The race organiser and safety officer have the final decision in this regard. Checkpoints on route.
  4. All athletes participate at their own risk and acknowledge that they are medically fit and equipped to safely participate in this event. In case of an emergency report to the next water point on route. At the finishing line an identified area will be demarcated for evacuation.
  5. No vehicles allowed on the course. No seconding. Water points every 2km intervals.
  6. No blades, animals, wheelchairs, prams, cyclist or mechanically operated devices permitted.
  7. Medals will only be handed out to participants in possession of a fully completed entry ticket and who have successfully crossed the finish line.
  8. Littering is not allowed. Athletes are to dispose of any litter in appropriate bins. Intentional littering and littering in non-designated areas may lead to disqualification.
  9. No athletes will be allowed to start later than 5 minutes after the group start time. Cut off time 4km – 19h00 and 10km – 20h00.

Race Distances

  1. There are two distances to choose from:

1.1     4km Fun Run / Walk

1.2    10km event.  Men and Women 15 Years and older.

 Entries

  1. Online entries and manual (individual and club /groups) entries will be accepted.
  2. Online Entries open on Friday 27 September 2024 at evententry.co.za/events.
  3. Manual entries at designated entry points will close at 1:00 on Monday 25 November 2024. Online entries will close at 17:00 on Monday 25 November 2024.
  4. Online entries can be collected on race day at the race venue.
  5. Late entries will be allowed at the race venue. Late Entries and Collections will commence from 15:00 on race day at the venue in the Church Hall. Cut-off for Late Entries and Collections will be at 17:00.
  6. A copy of ID, Driver’s license, Passport will be required during Collection.
  7. Strictly no refunds. Entries are not transferrable or deferrable unless otherwise announced.
  8. In the event that the race is cancelled due to reason outside the organisers’ control, the entry fee will be refunded in full to each athlete.
  9. Incomplete or incorrectly completed entries and entries not fully paid will be rejected.
  10. The event organiser retains the right to refuse entry to persons under the influence of drugs or alcohol, who are disorderly, display inappropriate behaviour, vandalise property, or evade paying of admission.
  11. Athletes who duplicate race numbers or participate without buying a race entry will be disqualified, dissociated from the event, and held liable for a double entry fee charge and / or disciplinary action.

Licenses

  1. ASA Licensed athletes must wear club colours and a valid 2024 license number on the front and back of the vest.
  2. International athletes are subjected to ASA rules and must be in possession of a clearance certificate of their National Federation (approved by ASA) prior to entering / participation.
  3. The race / bib number is displayed on the front of the vest, must be visible at all times and may not cover the ASA and sponsor logos on the ASA license.
  4. An athlete may not run with another athlete’s race number.
  5. All athletes must provide the name and contact number of their next of kin on the entry form. Participants with incomplete entry forms will be disqualified.
  6. Entry form for Temporary Licenses must be completed in full. Temporary license must be displayed on the front of the vest. NO INSURANCE COVERAGE ON TEMPORARY LICENSES.
  7. Wearing of earphones, handsets and similar devices is not permitted and will lead to disqualification if not adhered to. Prescribed hearing aids are allowed.

Prizes

  1. There will be no prizes as it is a Church fundraiser.
  2. Medals will be handed out to all athletes at the finish line after completion of the specified distance.
